Council of Deacons Meeting

15th May 2014

Draft Minutes

1) Call to Order and Roll Call

President Jim Myers called the meeting to order at 6.08 pm. A quorum of Myers, Mike

May, Geoff Hamiliton, Monika Day, Bob Joseph, Pastor Tim, Adam Sylvester, and Karen

Sisler was present. Apologies were received from Peggy Trout, Susan Schwichow-

Lord, Bryce Harken, and Thea Johanos-Kam. Guests included Tom Poole, Director of

Worship and the Arts, Jennifer Hawkins, Director of the Montessori School, and Shelby

Yuu, Parish Administrator.

2) Devotions

Pastor Tim conducted a devotional response and the Council sang “Ka Mana’o I’o”.

3) Approval of Minutes from the April Council Meeting

Mr Hamilton moved to accept the minutes and the motion passed unanimously.

4) Treasurer’s Report

a) April Financial Reports. Ms Trout reported that income from both

contributions and Japanese weddings are exceeding budget expectations. Year-to-date

income over expenses is about $26,000.

5) Action Items

a) Establish Tax Committee. Mr Myers said the proposed Committee of Mr

May, Mr Hamilton, Ms Trout, and Steve Egesdal be constituted. Mr Joseph moved to

constitute this committee, and the motion was passed unaninously. The concern is

about whether the income from Japanese weddings is a problem for the non-profit

status of the Church.

Action: Tax Committee.

b) Procedures for staff vacation & travel requests. Mr Joseph said he is still

working on this.

Action: Mr Joseph and Executive Committee.

c) Annual Staff Appraisals.

Action: Executive Committee.

d) Way forward for Sunday School and the Adult Forum. The Council gave

Ms Sisler a vote of thanks for her exemplary service. Ms Sisler suggested in her

report that Sunday School be scheduled from 10.45 to 11.30 am, beginning just after

the Keiki Sermon. She also suggested that the Adult Forum be dropped until a better

time, place, and a new facilitator can be found. Mr Myers asked Ms Day and Ms

Hawkins to get together to think about a new strategy for the Sunday School--

perhaps using a Montessori model.

Action: Ms Day and Ms Hawkins.

e) New PAC Director for Autumn Term. Dr Poole said that Julie Okamura will

take a year’s leave of absence beginning next week. He has written a job

description, and said that Haley Damm, a member of the Choir, has expressed

interest in the position. Mr Myers said the Executive Committee will discuss this

further.

Action: Executive Committee.

f) UI Rate Increases. A letter form UI Productions suggested that we amend the

contract with UI Production. Mr del Castillo moved that the contract with UI

Productions be amended to an increase of 4% in the fee to the Church for 2015,

rather than the 7% increase in the contract. The motion passed unanimously.

g) Security system. Ms Yuu said she is still working with a company on the

security system.

Action: Ms Yuu.

6) New Business

a) Bank Signatories. Mr. Joseph moved that we establish the following

personnel as signatories for the church’s First Hawaiian Bank Checking Account:

Robert Joseph, Peggy Trout, Geoff Hamilton, and Shelby Yuu. The motion passed

unanimously.

Mr Joseph further moved that we establish the following personnel as signatories

for the School’s First Hawaiian Bank checking and saving account: Jennifer Hawkins,

Robert Joseph, Peggy Trout, Geoff Hamilton, and Shelby Yuu. The motion passed

unanimously.

Mr Joseph further moved that we establish the following personnel as signatories

for the Church’s First Hawaiian Bank safety deposit box: Robert Joseph, Peggy Trout,

Geoff Hamilton, and Shelby Yuu. The motion passed unanimously.

Mr Joseph also moved that we establish the following personnel as signatories

for the School’s First Hawaiian Bank Payroll Pick Up: Shelby Yuu and John Keys, Jr..

The motion passed unanimously.

7) Reports

a) Montessori Pre-School. Ms Hawkins reported there is a new website for the

School. Graduation Day for the 10 students moving to other schools is tomorrow.

The Walk-A-Thon has raised so far nearly $11,000. Enrollment for next year is nearly

full, and we have more than usual enrolled for summer, with 33 children for the

primary class and 7 for the toddler class.

b) Pastor. Pastor Tim said that he will be having surgery and will miss preaching

on 25th May--and perhaps another Sunday.

The Pastor mentioned that the opening invocation in the Sunday bulletin is an

extended mission statement for the Church. Mr Hamilton followed this up by asking

what the Church’s objectives are and what the Council was attempting to accomplish.

This question evolved into an extended discussion. Mr Joseph said that this is the kind

of issue the Council should be thinking about. Several of the Councillors voiced their

opinions on the strength and role of the Calvary program, including especially the

unique style of worship. Pastor Tim noted that the core of the Calvary message is the

gospel, rather than prosperity or mental health and happiness through Christianity. Mr

del Castillo said that we should think about this large question and include it in the

agenda of next meeting.

Action: Council.

c) Music and Worship. Dr Poole reviewed planning for services through next

Easter. He said he would send a memo to the Executive Committee suggesting a

revision of the budget line for honoraria for visiting preachers.

Action: Dr Poole and Executive Committee.

d) Education. Mr del Castillo moved to (reluctantly) accept Ms Sisler’s

resignation as chair of the Education Committee. The motion passed unanimously.

8) Adjournment and Closing Prayer

The meeting adjourned at ca. 8.30 pm.

9) Next Meeting: the normal date is 19th June at 6 pm.
