In 2007, the Evangelism Committee was blessed with the energy and talents of Sherri Clark, So Young Namikawa, Betty Hardaway, Marilyn Hamada, Garret Pick, and Tom German, with the advice and counsel of Pastor Tim Mason.  

We invite you to regularly visit our page on the website at http://www.calvarybythesea.org/mod/group/view.php?group_id=3 which describes many of the ways we try to serve, including providing the technical support and consultation for Calvary’s website itself.  We’ve found that the website is a great Evangelism tool which brings new visitors to Calvary, and also can be an effective means of communicating within our own ohana.  

Last year, we continued to welcome and encourage new members at Calvary by sponsoring new member orientations, and encouraged greater frequency of these orientations and of the introductions of new members.

We were able to help bring about an efficient system of verifying the status of our non-active members, and of sending timely follow-up letters of welcome to our many visitors.

In moves to continue the welcoming spirit of our church and sanctuary, we’ve initiated the insertion of the sponsor acknowledgements in our new hymnals, the providing more accessible information sheets and prayer requests via

pew- folders, are moving the usher’s table to a more central location at our entry, and even began offering complimentary customized book markers as people exit the church; gentle reminders of our ohana.

In 2008 refreshments, a pause that everyone seems to enjoy, will now be served multiple times each month.  Our other plans for the coming year include completing an updated color brochure describing our church and its ministries, more timely and permanent reminders of monthly events such as the Potluck on the Beach and Hikes with Mike, etc, and continuing to assist the property committee in the task of bringing about better signage fronting our campus, among many projects.

We still continue to help publish the membership directory with pictures, and this year added one more “Picture-Sunday” for the convenience of more members.  If your picture is not yet in the directory, please email a picture to Garret at pickgr@gmail.com  for inclusion in the next directory update.

Our Stephen Ministry at Calvary By The Sea continues to grow, and it has become a wonderful ministry at Calvary, helping many in their times of need.

We spearheaded the first annual Taste of East Oahu on April 28^th.  This landmark event, initiated and organized by our own Marilyn Hamada, encouraged many non-members to experience our campus, brought many of our members together not only in a productive venture, but also to enjoy the fun and fellowship provided by the relaxing evening of food, wine, art, and music. It was a great venue for congregational fellowship, provided positive exposure for our church, and raised over $10,000 for some of our valued ministries.  The event will be held once again, this year on Saturday, April 19^th, and we invite everyone join in!

We look forward to another blessed year of growth and fellowship, and encourage anyone interested in participating in our little team’s efforts to give us a call…we enjoy our work, the meetings aren’t painfully long, and there’s no entrance exam!

Evangelism Team and Committee

1. Betty provided feedback to Pastor Tim regarding the letters for visitors. No issues here. Stephanie is sending the letters based on the guest book and visitor cards filled out on Sundays.

2. Yukio Hamada has composed a letter to be sent to inactive members which would be signed by Yukio and Pastor Tim. The group discussed it and suggested possibly reordering the letter so that the second paragraph is first. This would come more to the point and state the objective of the letter. Tom will follow-up with Yukio.

3. SoYoung showed example of handout from New Hope church. She also described her experience attending an Easter service there. She also passionately talked about her experience with bringing the MEJ concert to Hawaii. Group feels that it’s important to have an actual tear-off dedicated to prayer request/visitor information. SoYoung will bring sample from First Pres. to next meeting.

4. TEO. Marilyn is not concerned about the auction items. She also feels that we will at least break even. However, we still need to focus on ticket sales as we are only a week and a half away from the event  Sherri offered to help Garret Friday evening April 27 by watching his kids during setup from 4-4:30. Evangelism team will make a plea to the congregation on Sunday.

5. Sherri talked with Ted Hsia and he said we could share the existing Global Missions bulletin board. Tom to discuss hiking, kayaking, other activities

6. Tom and Betty will compose a letter for Linda to email to the congregation tomorrow. Need to sell more tickets and need more volunteers.

1. Discussed possibility of choir members serving as greeters. Decided that they would be too busy practicing for this to be practical.

2. Yukio Hamada has composed a letter to be sent to inactive members. He is having a few others review it. Will continue working on this project with Linda Cluney.

3. Picture Sunday the last two Sundays. About 20 new pictures taken and sent to Linda Cluney to import into the member’s database. These will be included in the next edition of the directory.

4. Pew cards for visitors may be better than having ushers hand out the current visitor cards. These would require some sort of box or holder in the pew. A tear-off tablet may also work. An easier, short term solution may be to include a “tear-off” in the bulletin.

5. Need to start sending letter to visitors from Pastor Tim. Evangelism Team will make follow-up phone call. Tim to check if we still have a form letter to send to people sign the guest books. Susan G. may have a letter.

6. Discussed possibility of ordering more post cards after the current supply is used up. SoYoung will use a professional photographer or at least a different picture. Tim to include post card in visitor’s letter.

7. Bob Joseph has created a draft brochure to handout at Taste of East Oahu. Eventually, we’d like to have a color glossy brochure.

8. Tom has heard from Marilyn that we need help with Silent Auction. Specifically, solicitation for more donations.

9. Need to better publicize events like Hang Loose on the Beach and Hikes with Mike. Staff is doing better job of advertising in newspapers. Need a banner for BBQ on beach. Betty to call Mr. Sign and order something like:

Evangelism Team

Need to double-check the dates for the “Taste of East Honolulu” Target date could be between April 10 to April 28th. Tom will check other date conflicts and the council notes. Notably, check out the dates for Kaiser High School Graduations.

We really need to invite people to serve on committees.

We need to be more assertive with the follow-up of new members.

So Young brought up the concept of an “Accountability Partner.” We need to look at our congregation to ask people to serve in some way.

The Evangelism Team can help making sign up sheets for this Sunday.

Each chair will need:
1) Vision statement
2) Sign up sheet with the Vision Statement on the top of each sheet.
If the meeting time is already decided, include it on the sign-up sheet.
3) Name, telephone and telephone number of the team leader

Provide a sign up in the bulletin.
Committee names with boxes they can check
Their names, phone number and email.

Regarding the music for worship:
Need songs that “we all know and can sing.”
More songs that are happy and upbeat.
We need more simple happy songs.

Regarding the Japanese/English Bible:
Evangelism Team is unanimously supporting the smaller sized Bible.
The Bible is the standard size for books in Japan.
Our point is not because we are cheap, but because the Bible is the standard size, practical/functional and will look equally as nice.

The purpose of the Bible was to be a gift for the purpose of evangelism, not just as a gift. Therefore, the responsibility of offering a Bible would come from the Evangelism Team. If the purpose has gone away from being a tool of evangelism, to being just a gift from the church, then the Evangelism team does not need to take on this project. If it is only a gift from the church, then it falls out of the realm of “evangelism” and maybe we should just give them a much cheaper gift, a small cross etc.

The purpose of the Bibles is that in giving a Bible, lives were changed, refer to Ted Hsia, and Miki May. Miki May came to become a Christian because someone gave her a Bible.

The project of the Bibles was at the request of the previous council.

We want this topic to be put on the next COD agenda.

Movie License: Garret says we should not do “Movie on the Beach” without a license. We need to follow the law. It would cost (at least) $100 per movie and there are many other stipulations.

The fact that showing it at the church makes it a “public screening,” specifically mentioned in the film copyright.

Suggestion: Let’s brainstorm and come up with something else. Betty may check out the guy at UH…

What about beginning to look at an evening or midweek worship service.

Evangelism Meeting Notes

February 22, 2006

SoYoung opened the meeting in prayer.

1. Head Usher report

Sherri reported that she spoke with Lea and Lea will ask ushers to be a half hour early when she makes her reminder calls.  She will also ask if ushers have any questions and if they feel comfortable with all the duties.  If there are any questions, she will refer them to Sherri.  So far, things seem to be running smoothly.

2. Japanese Bible Update

So Young reported that a sample of the cheaper ($11-$12) New Testament should be available to review/compare with the current Bible at the next COD meeting.  A motion will need to be made to pursue ordering the alternative Bible.  The new Bible will have gold foil printing of the church name and website and should have our customized page printed in color.

The shipment of 500 additional Bibles should be shipped directly to the church in the middle of March.  It appears that we have enough Bibles in the usher closet and in storage to last until the end of March.

3. New members update

Garret reviewed the dates for the new member introductions beginning on April 30^th.  Garret also relayed the COD request that we gather biographical information for new members and publish it or have Pastor Tim use it during the inductions. 

Susan reported that we have 10 potential candidates.

Susan will check with Alice about sending out an acknowledgment letter as soon as an application is received in the office.

Garret will call Pastor Tim and ask if the policy for adding new members has changed since there seems to be some new members the team was not aware of.  Garret will also inquire about the possibility of having a staff member (Alice?) be assigned to attend all of our meetings.

Discussed the idea of sending postcards or doing more followup with local vistors who sign the guestbook.  Need a volunteer to do this.

4. Worship & Music recommendations

Reviewed and discussed Steve’s letter.  Steve will hand-deliver to Susan Fisher, Dr. Harvey and Pastor Tim as written suggestions from committee to committee.

This is a project we would like to complete before issuing another membership directory.  However, Linda has not had time to work with us so we will set a goal of doing this by next spring.

6. Evangelism Event/Healing seminar

Betty reported that the “healing team” from Mililani will be joining us and participating.  They have worked with Pastor Dahle in the past.  Dori Hertberg is the contact.

Betty passed around a sample of the banner we will post in front of the church on March 16^th.  It will be 3’x8’ and will cost $135.  She also reported that Amanda and Jamaica will be available to handle childcare the night of the event.

SoYoung has called the person publishing the HIM program to make sure the event is mentioned there.  She had not heard back yet, but will followup.

Betty passed around the flyer Garret created.  Susan will investigate getting postcard type half sheets (400) printed at the Copy Shop.  Betty will send these to the other Lutheran churches on the island and all churches in East Oahu.  The flyers will also be available to the ushers the two Sundays (19^th & 26^th) before the event.

Sherri has three ushers lined up for the the 30^th – Beatrix Johnson, Rheeta Large and Karen Wagner

Steve reported that we can advertise the event for free in the Star Bulletin and Advertiser’s faith calendars.  He will send in the ad before our next meeting.  He will also check with Midweek and contact Pulelehua about possible press coverage.

Steve will also see if we can advertise for free on the radio – KAIM 95.5 / 1040

Steve will take care of parking and lighting.

2005 Evangelism Committee Report

The Evangelism Committee was blessed to grow by two new members last year, Sherri Clark and Steve Webb.  The rest of the team included So Young Namikawa, Susan Gruetzmacher, Betty Hardaway, and Garret Pick, who served as chair.

Last year, we continued to shepherd new members at Calvary by sponsoring both a spring and fall session of three week orientation “introductions”  One of our main missions is to grow the congregation at Calvary and we feel this is one of the most important ways we serve.

We also continued to coordinate the logistics of ordering and preparing the Japanese New Testaments.  Each of the over 1000 Japanese couples that is married each year at Calvary receives one of the special gifts from Calvary as part of our wedding ministry and international outreach.  These gifts continue to be well received by each couple.  A big mahalo goes to SoYoung for leading this effort and streamlining the preparation of the Bibles, which has allowed the team to spend more time focusing on other priorities.

Another service we continued from 2004 was the publishing of the membership directory with pictures.  If your picture is not yet in the directory, please email a picture to pickgr@gmail.com; otherwise we will again publicize a few “Picture Sundays” in 2006.

Last year marked the beginning of Stephen Ministry at Calvary By The Sea.  Training of the new ministers is well underway and this looks like it will be a wonderful new ministry at Calvary helping those who are in need.

For our visitors to Calvary, Susan printed color postcards with a beautiful picture of the sanctuary.  Our hope is that this will bring more visitors to Calvary and provide those who visit with a small gift to help them remember their worship experience.  We’d like to thank Norris Sandvold for the original idea and also for funding the printing of the first batch.  Feel free to help the ushers pass these out on Sunday mornings or send them to your friends inviting them to visit.

We are looking forward to 2006.  On March 30th, we are sponsoring a visit by Pastor Mark Dahle.  He will be leading a healing seminar that you don’t want to miss.  We hope to see most of the congregation there as well as members of the community who have never been to Calvary.

August 4, 2005

Steve opened the meeting with a prayer.

Garret will check with Miki if she is still interested in being part of the team and if she has been receiving the emails.

1. Japanese Bibles

So Young has placed an order for 1000 more New Testaments.  She has also requested that they are not shipped with the plastic covers and if they can be pre-printed with the CBTS-designed insert.  Garret has emailed So Young the soft copy of the insert.  If the Bibles can be pre-printed, then Susan will return the extra unused labels.  SoYoung expects this may cost approximately $21.00 per Bible.

The team expects that they will arrive well before the remaining Bibles are distributed.  Steve and Garret will pick them up and bring them to the church in Garret’s van if necessary.

2. Picture directory

“Picture Sunday” dates have been posted on the web and in Calvary Calls (8/14 and 9/11).  The team will personally call all members who do not have a picture in the membership database and encourage them to attend one of the Sundays to have their pictures taken.  The goal is have a picture for everyone in the new directory.

Garret/Linda are also working with CIS to find a way to merge/customize the databases so we can include email addresses and work numbers in the next edition.

3. New members

The team also brainstormed to come up with a less intimidating name for the new member classes and decided on “Introductions”  Steve will call Tracy and have her start using the new name in the publicity (website, Calvary Calls, bulletins, etc)

4. Stephen Ministry

Betty has submitted her application to become a minister.  The training starts in September.

5. Evangelism Event

Betty has set a date of Thursday March 30^th for the seminar with Mark Dahle.  It’s on the church calendar and Mark has confirmed.  We discussed tentatively having it from 6:30-9:00PM with a refreshment break in the sanctuary.  We’d also like to make it a community event and invite people who have not been to CBTS before.  Details will be publicizied as we get closer. 

6. Website

Garret has spent some more time with Tracy training her on how to post Calvary Calls to the website.  The worship volunteer schedule and CC’s should now be posted each month.  There are no other outstanding issues we are aware of.

The next meeting will be on Wednesday, September 7th at 6:30PM in the loft.

So Young opened the meeting with a prayer.

The team is pleased to report that we have another new member, Steve Webb.  He is very excited about serving on the team.  We began the meeting by each sharing the story of how we joined the Evangelism Team and why we have volunteered to serve on it.

To date, the office has only received applications from three individuals interested in membership.  Our goal is to have at least ten before the classes start in September.

The team also reviewed the letter that Tracy and Pastor Tim send as a reply when an application is received.

Tracy has finished the new application form and it is available on the website and copies will also be available in the usher’s bin.  Please distribute these on Sunday mornings to any vistors who may be interested.

The team also brainstormed to come up with a less intimidating name for the new member classes, such as orientation session, etc.

So Young reported that Miki is in the process of ordering 1000 additional bibles for next year.  These will be identical, except we are requesting they be packaged without the plastic covers so they can be more easily distributed.

The team spent the entire meeting preparing the remaining six boxes of bibles for the Japanese weddings.

So Young is investigating an alternate bible for 2007 that could be pre-printed with Calvary’s custom information, saving us many man hours of labor.  This Bible would also be less expensive (~$12.50).  She will obtain a sample to be approved by the COD.

5. Evangelism Event

Betty has contacted Pastor Mark Dahle about the possibility of helping us host some sort of community event/workshop at Calvary.  This could possibly be done when Mark is on island for the HIM conferences next winter.  Betty, Don, and Pastor Tim all know Mark and think it would be a powerful experience for anyone able to attend.

6. Website

Garret has spent some more time with Tracy, training her on how to use the website.  The worship volunteer schedule should now be posted each month.
